Privacy policy

What Debrief holds

We hold your email address, profile details, venue memberships and permissions. When you record a note, we process its audio, transcript and extracted report items. We also store venue settings, report recipients and completed reports.

How information is used

We use this information to sign you in, create shift reports, provide search and repeat-issue history, deliver report emails, keep the service secure and improve reliability. Audio and transcripts may be processed by our contracted AI providers solely to provide these features.

Who can see it

Your own notes are visible to you. General Managers and owners can view operational information for their venue. Team-category information is restricted to General Managers and owners. We do not sell personal information.

Retention

Source recordings and full transcripts are deleted after 30 days once a completed report exists. Compact operational items and completed reports are retained for the venue’s searchable history. Backups and security logs may persist for a limited period before automatic expiry.

Account deletion

You can permanently delete your account from Account settings. You may first download the reports you are entitled to access. Shared venue reports remain with the venue and your name is replaced with “Former team member”. A sole venue owner must transfer ownership before deletion when teammates remain.

Your choices

You may request access, correction, export or deletion of your personal information. You can withdraw microphone permission in your phone settings. Account deletion cannot be reversed.
